Presupuesto: Apart from all the materials to be printed and produced (leaflets, communications packs, posters, etc) offer a welcome gift for each team. Design a bag of goodies and you can also look for sponsors to fill up the bag. You can share the communication costs with these sponsors too.
Another important cost is the contribution of the company (if this is a charity event).
Administration and event execution costs can sum up to quite a big amount. Make sure you allocate all the necessary costs (manpower, legal and administration fees, car rentals, registration booths, food & drinks, etc.)
Actividades: Organise a car rally, with several stops where the teams have to achieve a challenge: answer a question, do an artistic performance (dance or sing), or find an object based on indications… But most of all, why not organise the following animations with their cars:
1) How many people can you fit in one car? Organise a contest and find out for yourself! You might just make it to the Guinness Book of Records!
2) A circuit contest: clear sharp corners, manoeuvres through a slalom, challenge the ramps… A test of your driving skill! (make sure the place is safe and speeds remain reasonable)
3) Beauty contest: challenge your creativity and dress up your car (paint, stick papers, flowers…)!
You can also set up a car washing and waxing service to raise funds. Include a car stunt show to thrill the crowd present!
Consejos: Prepare carefully all logistics: stickers for the cars, route to be driven, food… Encourage or even organise car-sharing among participants and if your budget allows, why not also provide cars for those who do not own one?
During the event, make sure you segregate the event grounds and with clear signage indicating the different areas: registration, goodies bags collection, drinks distributions, sponsors booths, the starting point, etc.
Select the social organisation that you want to contribute to and work with them on the communications. This can help you do your publicity more effectively.
You can even get the press involved if this is part of your publicity campaign. Send your press release ahead of time so that the press can be available.
You can prepare a prize for the winning team (especially suitable if the event is open to public) or make it just an activity for a good cause (this could be alright if it is an internal event).
Otro: Communication:
Communication is the most important element in a social event. Make sure you communicate all event details (date, where and when to register).
Communicate what efforts the company is doing (amount contributed: lump sum or part of the registration fee…).
If you want to do an important communication campaign, you may even organise a prize presentation of the winner and the money to the organisation.
