1. Contact with the professional association of your sector. They can give you information if the trade fair that you would like to participate has any subsidies

2. Check if the trade fair is within the European Union or not. If it is not, you will have to clear customs on all the materials that you are bringing to the fair. You will need all the documents and depending on the destination, commercial invoices, certificates, photographs, ATA booklet, etc. Take note that you will need to pay all the expenses on tariffs, taxes and levies in the designated country. You will also need to pay deposit in cash on your materials, which will be returned to you if you bring the materials back to its country of origin. If the materials are accompanied by the ATA booklet, it can move freely in the designated country without paying customs duty

3. Check the days for custom clearance, ensure that you can have the materials before the trade fair so that you have enough time to set-up the stand and also check the days you have for tear-down

4. Get proposals on all the expenses from all the logistics operator that you are using, including the custom duties and expenses in the exhibition site

5. Be on the trade fair site a few days before the official opening of the trade fair to control the loading of your material and set-up
